Purpose: The guidelines are developed to ensure the responsible and ethical use of generative artificial intelligence in studies and learning processes at Nord University.
Scope: The guidelines apply to everyone conducting teaching activities and supervision under the auspices of Nord University.
Preliminary Provisions:
- Those who supervise bachelor's and master's theses must have completed at least a 3-hour course on the use of generative artificial intelligence. In case of changes to the course, supervisors must have completed the latest version of the course within a year. (See the tact box for more information and the registration link).
- Those who use generative artificial intelligence in teaching and other learning processes organized by the university must continuously ensure they stay updated on the use of such systems. Only systems approved for use at Nord University should be used.
- Pedagogical content created using generative artificial intelligence must undergo thorough quality control.
- Course coordinators/instructors/supervisors must refer students to information on how to meet requirements for information security, privacy, and copyright when using generative artificial intelligence.
- When generative artificial intelligence is used in learning processes organized by Nord University, this must be evaluated in course/program evaluations.
Learning Processes:
When generative artificial intelligence is used in learning processes organized by the university, it must be well integrated into the course and program learning outcomes. The program council should decide whether and how generative artificial intelligence should be used in the learning processes of the programs they are responsible for.
The curriculum must include requirements for methodology teaching that also covers the use of generative artificial intelligence where applicable. Applicable regulations and guidelines for information security and privacy must be followed.
Generative artificial intelligence systems should not be used on information and data that require protection in processing and storage. Such protected information and data may include personal data, trade secrets, or copyright-protected material.
Transparency:
All use of generative artificial intelligence in teaching must be clearly communicated to the student.
When using generative artificial intelligence in learning processes organized by the university, students should be taught to recognize both the opportunities and critically address the systems' challenges, shortcomings, and ethical aspects.
The student must be able to provide raw data upon request from supervisors or examiners. The requirement to retain the raw data remains until the final grading is completed.
Major written assignments with supervision of at least 10 ECTS credits:
For major written assignments where supervision is provided and the scope is 10 ECTS credits or more, work requirements must be defined that specify formal requirements for the process and final submission. This can include, for example, the number of supervision meetings and an oral presentation before the final submission.
The proper use of tools with generative artificial intelligence is as a discussion partner and for language editing. This should also be described in the methodology section of the submission. The actual response should be prepared by the student themselves with sources.
The basis for assessment and assessment criteria are the same, whether tools with artificial intelligence have been used in the work on the assignment or not.
Exam:
Exam assignments or other task descriptions must include information on whether it is permitted or not to use generative artificial intelligence to formulate the response.
In home exams, the task design must take into account the use of generative artificial intelligence.
Generative artificial intelligence should not be cited as a credible source in academic work. Text generated by generative artificial intelligence must always be verified through other sources.
It is considered cheating if the answer is generated using generative artificial intelligence and submitted wholly or partially as one's own work.
About the guidelines
The guidelines are effective from 01.02.2025.
The guidelines have been reviewed by the faculties and the student organisation and were discussed in the Education Committee on 05.06.2024. The guidelines were then adopted by the rector on 23 August 2024.
Course for academic staff
Those who will supervise bachelor's and master's theses must have completed a 3-hour basic module in the use of generative artificial intelligence by the end of 2025. The module is asynchronous, meaning you can complete it at your convenience.
In addition, a supervisor module has been created. This is optional and takes about 2 hours to complete.
